How do I know if a vendor is in the system?
Search for them in CU Marketplace. If they appear in the shop section, they're registered and ready to use. If not, contact Ashley to begin the vendor registration process.
What if my vendor isn't in the system?
Contact Ashley to start the registration process. This can take time, so do it before requesting a quote. There's no cost to registering a vendor.
Why should I check vendor status before getting a quote?
Quotes typically expire after 30-60 days. If you receive a quote but the vendor isn't registered, the quote may expire while waiting for registration—then you'll need to request a new one. Getting the vendor registered first avoids this delay.
The vendor name looks different in the system than expected. Why?
Sometimes vendors appear under their parent company's name rather than their common business name. For example, Thermo Fisher may appear under a parent company's name. If you're unsure, ask Ashley to help confirm.
Can students place orders directly?
Students should route orders through their PI for approval. While Quartzy now allows direct checkout, this can bypass PI approval. If you're a student, please use the standard request process so your PI can review and approve.
Quartzy: I'm a PI and I see a student order that bypassed approval. What should I do?
Either send it back for proper routing, or add a comment confirming your approval. This maintains appropriate oversight.
